Executive Assistant to Firm Director (San Diego)

  • POSITION TITLE: EXECUTIVE ASSISTANT

    REPORTS TO: FIRM DIRECTOR
     

     

     
    PURPOSE
     
    To provide heavy administrative support to the Director of law firm. Candidate must exhibit perfection in written emails, memos, record keeping, and correspondence-absolutely no allowance for clerical errors or mistakes given legalities entailed of such correspondence. Ideal candidate will be fun, self-starting, trustworthy, flexible, and reliable individual.
     

     

     
    KEY AREAS OF RESPONSIBILITY
     
    • Facilitate wide variety of administrative requests
     
    • Schedule/Calendar meetings, events, presentations, appointments, etc. as needed
     
    • Order and/or purchase requested items as needed
     
    • Schedule travel and lodging arrangements as needed
     
    • Prepare conference/meeting/appointment arrangements as requested
     
    • Screen incoming emails and voicemails addressed to Director
     
    • Type dictated emails and send on behalf of Director
     
    • Prepare and maintain reports as requested
     
    • Submit monthly receipts to the accounting department on behalf of Director
     
    • Attend various meetings as a note taker, and supply attendees with minutes
     
    • File all incoming and outgoing correspondence and other documents in proper files
     
    • Heavy drafting of letters and emails
     
    • Substantial proof-reading of all documents
     
    • Telephonic communication with clients, court personnel and opposing counsel
     
    • Formatting and detailed data entry into Word and Excel documents as required
     
    • Update case files and prepare Excel reports
     
    • Maintain attorney-client privilege at all times
     

     
    SKILLS REQUIRED
     
    • Heavy typing of dictated material. (60-80wpm).
     
    • Meticulous maintenance of calendaring for meetings and firm deadlines
     
    • Excellent communication skills, both verbal and written
     
    • Multi-task in a fast-paced environment without compromising quality
     
    • Preferably has familiarity with Mass Torts and Personal Injury
     
    • Ability to report facts accurately in a concise, logical manner
     
    • Immediate working knowledge of computer programs; Word, Outlook, and Excel
     
    • Working knowledge with dictation hardware and software
     
    • Flexibility in ‘floating’ as firm needs mandate. E.g. mass mailings, large case file reconciliation, phone calls, etc.
     

     
    QUALIFICATIONS
     
    • Two (2) years prior work experience as an assistant or other related profession
     
    • Must possess a Valid Driver’s License
     
    • Must be a minimum of 21 years of age
     
    • Paralegal certificate ideal, but not required
